This position requires creating positive first impressions, providing IT customer service, administrative, communication and support to various staff and students. The successful candidate will work closely with the Head Administrator and Program Director to coordinate, support, and manage the day-to-day Head Office responsibilities. This position is a key ambassador of the organization to both students and all external organizations. In addition to Database Systems management and support, IT customer service, and student liaison responsibilities, this position requires regular interaction with and support to the senior management team. Location: Virtual
Hours: Approximately 10 hours per week – weekdays (Monday to Friday)
Additional hours may be required during various seasonal activities throughout the year including convocation preparations, annual corporate auditing, various reporting periods.
Position & Tech Requirements/Responsibilities (but not limited to)
System Administrator for Student Management System (SMS) SonisWeb
- Candidate must be able to run Structured Query Language (SQL) Queries from any Database.
- Candidate must have strong understanding of computer logic to convert SMS request using SQL Queries to the Database.
- Candidate must be able to manage system settings and user access for the SMS according to User group.
- Must work from a platform that will support a full version of Outlook on a PC (mac, as tested, is not compatible with a full Outlook)
Must have access to, and be very familiar with several key (not all) software like Outlook*, Word*, Excel*, PowerPoint*, Photoshop, InDesign, Publisher, WordPress (or any web development/design software), Google Drive* Facebook*, Instagram*, YouTube - Manage Zoom Account(s), Set-up meetings, download reports and cloud recordings, troubleshoot Zoom access & denials and system settings set-up.
- Provide troubleshooting assistance for IHN’s “go at your own pace” online program systems and platforms, primarily Loom and Thinkific.
- Key performance indicator & audit administrator:
- Candidate must be able to create and run Queries from the SMS database for technical requests from Auditors.
- Candidate must be able to research new software & hardware systems and write reports/recommendations for the systems they suggest will improve productivity and efficiency of IHN.
- Candidate must be able to troubleshoot network issues (Cisco Certified Network Associate (CCNA) Certification is a plus), optimize network for faster access and more reliable internet and Wi-Fi network for IHN once a month.
- Candidate must have a strong understanding of Data Protection, Back-up, and Recovery and network firewall and VPN set-up and troubleshoot.
- Candidates must be able to set up Outlook emails and have familiarity with Simple Mail Transfer Protocol (SMTP) and Post Office Protocol (POP) email set-up.
- Candidate must be able to set up and troubleshoot Anti-virus systems (AVG Business Security is a plus) and run a security test monthly to identify and eliminate security threats as needed.
- Candidate must have a strong understanding and have experience working with Group Policies (Local and non-local).
- Candidate must have design experience with Canva and Adobe Photoshop
- Also operate a help desk position and take live queries from clients and troubleshoot while they are on the phone.
- Actively support staff with network connectivity and SMS issues.
- Format and manage cloud and External Hard drive storage and backup.
- Data entry and organization of client files and information on the SMS system.
- Participate in team meetings and contribute to growth and development of IHN culture.
- Assist with preparation and participate in Virtual events such as Open Houses, Orientation Days, Convocations, Market promotion and build relationships with other businesses, clinics, and professionals.
Qualifications:
• University/College BA IT Graduate or equivalent Post Secondary IT Degree
• Minimum two years’ experience in a IT Role
• Exceptional customer service orientation with professional and polished demeanor
• Project management experience
• Software and Hardware Set-up
• Data Recovery and Back-up experience
• Exceptional computer skills with working knowledge of Microsoft Office including Word, Excel, Outlook, Power-point, Publisher and Adobe Photoshop.
• Experience with web-based administrative software is a plus
• Highly trustworthy with the ability to maintain confidential information
Core Competencies:
• Assist IHN’s Head Office team in the multi-task management of the on-going daily operations as well as simultaneously supporting all campuses physical and virtual.
• Ensure IHN’s foundational educational web-based administration/information software program (SonisWeb) is operating efficiently and work to achieve maximum potential of the system.
• Identify and troubleshoot any IT software issues. Coordinate system projects and issues with third-party software supplier. Develop and initiate new SonisWeb tools as IHN expands the use of the system.
• Oversee and support SonisWeb which includes all web-portals for all current students, graduating students, alumni, administration and faculty.
• Prepare training video modules for SonisWeb platform to students for bi-yearly orientation sessions.
• Continuously, as requested, train students, staff, administration and faculty on the use of SonisWeb.
• Manage email and disseminate information to appropriate team members and/or personally field questions and requests from prospects, vendors, students, faculty and staff.
• Support preparation of transcripts, grade reports. Develop and prepare regular reports for the organization including reports to Program Director and Executives.
• Desk-top publishing responsibilities including creating and maintaining professional digital projects including Ads, brochures, covers, posters, hand-outs and other print and e-graphics projects.
• Work directly with Head Administrator to support all departments including the administration team, Finance, Literature, Enrolment and Customer Service.
• Participate, and occasionally lead, operational or special projects and meetings with IHN’s multi-departmental team.
• Develop and manage relationships with prospective and current students, alumni, administration, executives, faculty and vendors.
• Manage, communicate and support IHN corporate and administrative Policies.
